Download and Import
Instructions - Hy-Tek Meet Manager:
- Hy-Tek Preparation before import of data.
Setup all events in Hy-Tek before import.
May download sample meets from
help page and edit specifics for your meet.
Test the import process prior to the actual
closing of the entry window!
If there are problems, note the
exceptions and resolve them!

Use Managers | Track | Event Summary | Select event | click
Get Data
- View Roster Data displays rosters submitted.
View School/Club Data displays schools and
coach's contact information.
Follow-up appropriately with coaches that may be late
or are missing information!
Download of Import Filesto your account and use Managers | Track | Download Imports |
{select your meet}
Select Download Hy-Tek Import and note the file
name and location.
- Repeat for other gender or divisions.

*New for 2023! The Baumspage Event List includes the 4x800 Mixed Relay,
4x200 Mixed Relay, 4x100 Mixed Relay, 4x400 Mixed Relay, or Shuttle Hurdles
(Mixed)
- Select the appropriate Mixed Event
from the above list.
- If the
event you want is not listed,
select one of the four events above, and instruct coaches to use
it for whatever relay you designate.
- The
Entry Templates
for the Mixed Events are set for two runners per
gender.
- Make sure you select both
genders of the Mixed
Evemts for your events.
- The
coaches will need to submit their two girls and two boys in the
appropriate order.
- For import into Hy-Tek, make sure the
events are listed in the event list.
- Use
Events | Add
to
add the Mixed Relay or Shuttle Hurdles
with the gender set to Mixed.
- All other parameters should be the same
as the regular relays!
- If
the
MIxed Relay is replacing a regular relay, use
Events
| Edit to change the
gender to Mixed.
- Download the HyTek
Import files for both genders and
save them in your download folder or
desktop.
- Use File | Purge | click
on Teams | Click OK three times.
- Use File | Import | Semi-Colon
Delmiited Rosters/Entries
- Select file and click
Open
- Click No on Only
update seed times?
- All four relay names will import in the
order listed.
- Use Relays to view
the runners.
- If doing a
Mixed Relay the girls should
run the 1st and 2nd legs and
the boys should run the 3rd
and 4th legs.
- If doing a Mixed Shuttle Hurdles,
the girls should run
the 1st and 3rd
legs
and the boys should run the 2nd and
4th legs.
- Click the
2023 Mixed Gender Relay Form
link and submit request to the OHSAA!
- The OHSAA and NFHS Policy is to split the points
equally between the two genders.

Event

Disable Uniqueness .
If not allowing
"B" Relays, use Setup | Report Preferences | Suppress "A"
Relay Designator.
- That will eliminate the 'A' with the school
on all the reports.
Meets with Wheelchair Events
- For the four OHSAA wheelchair events, you
will need to setup the events in Hy-Tek prior to import.
- The setup is similar to standard events, but to avoid import
into the regular events the distances or event names must be unique!
- In Hy-Tek Meet Manager, Version 4.0Bj or
later, there is a choice to include the word Wheelchair with the event
name without having to use the event note. (See 100 Meters Wheelchair screen
shot below.)
- For Distance, select Custom
and Event Class, select Wheelchair.
- For Hy-Tek 3.0 or 2.0, use Custom
distances and in the Event Note to add the word Wheelchair.
- For Semi-Colon
Delimited Import the three wheelchair races
are temporarily defaulted to 2 meters longer and the
shot put is named Weight Throw.
- The 100 Meters Wheelchair is defaulted to 102,
the 400 Meters Wheelchair to 402, and the 800
Meters Wheelchair to 802.
- Import the data first, then change the
distances back to your actual distances.
- The ShotPut Wheelchair is temporarily named
Weight Throw.
- After import change the name back to Shot
Put Wheelchair using either the Event Class or Event
Note.
Meets with Additional Relays/Medleys
- The default settings in our conversion
program are:
- Sprint Medley - 800S, Distance Medley -
4000D, and Middle Medley - 2400D
- If you get exceptions during import, use
Setup
| Events and change the distances to match the above defaults.
- After import change them back to your actual
distances.
- Shuttle Hurdles 400M or 440M
- You will need to
"temporarily" change the distances or event names to match the default setting
import data.
- Use
Setup
| Events to temporarily change the event
distance to appropriate distance and use the Event Note to designate the special event.
- Example:
Ironman/Woman is set for Import as a
412 Meter Relay
- Use the
Event Note set to Ironman
or Ironwoman or whatever you use. (Weight or Throwers Relay) *Whatever your prefer.
- After import change them back to your actual
distances.
- Note for B or C Relays
- Relays that are the Same Relay and actually
compete in the same race as the varsity are set to import directly into
those races..
- For the B or C Relays that compete in
different
races than the varsity, the distances are defaulted to 4 meters longer.
- The import abbreviation in Hy-Tek for a
4x800 Relay
is 3200 and for the 4x800 B Relay is
3204.
- A 4x100 Relay
is 400 and
the 4x100 B Relay is 404. Likewise
4x200
B Relay is 804, and the 4x400 B Relay is
1604.
- After import change them back to your actual
distances.
Meets with Special Individual Events
- Example: Freshman 100 Meters or
JV
1600 Meters race, etc., the distances are defaulted to 1 meter longer
- A 1600 Meter JV race is defaulted to
1601,
800 Meters to 801, and 100 Meters
to 101,
etc.
- After import change them back to your actual
distances.

Download from the Web:
- Go to www.baumspage.com
and login to your account
- Only the manager or assigned delegate will
be able to access the data.
- Use Managers | Track |
Download Imports | {select event}
- Use View Roster Data to see
the actual rosters submitted.
- Use View School/Club Data to
see the schools and coach's contact information
- Click Download Hy-Tek Import and
note the file name and download location:
- HTHS_M_#.txt, HTHS_F_#.txt,
HTMS_M_#.txt, or HTFS_F_#.txt
- Repeat for each gender or
division.

- Start Hy-Tek Meet Manager:
- Use File | Purge | Remove Data
Selectively | click on Teams (4 boxes will be checked) | click OK

- Use File | Import | Semi-Colon
Delimited Rosters/Entries | Browse to the file | Highlight | click
Open (or double-click)
- Do not accept out of range times!
- If you get errors, note the exceptions.
- If the exception report includes events:
- Check your event setup in Hy-Tek
- The event names/distances, must match the
names/distances in the import file.
- If the exception report includes out of
range marks:
- Check the entries in the View Roster Data
file.
